Mazza Recycling is Hiring an Executive Assistant Near Wall, NJ

OVERVIEW
The Executive Assistant position is responsible for assistance to the President & Chief Executive Officer (CEO). The Executive Assistant will assist in all aspects of the Organization with a focus on compliance and regulation, litigation proceedings, real estate transactions, and policy creation. The Executive Assistant will work closely with and report directly to the CEO.
RESPONSIBILITIES
  • Work with Executive Department to ensure compliance with all environmental health and safety requirements, including but not limited to NJDEP permits
  • Work with Director of Environmental Health & Safety to ensure compliance with DOT and The Occupational Safety and Health Administration (OSHA) regulations and ensuring completeness and filing of necessary documentation
  • Responsible for filing and maintenance of records related to EPA and NJDEP reporting requirements, compliance and monitoring
  • Schedule environmental health and safety testing and training to maintain compliance procedures set in place by Executive team
  • Responsible for compliance with all EPA and NJDEP reporting requirements, including the facilities’ air, storm water, solid waste and recycling permits, which may include working with outside engineers
  • Coordinate with outside legal counsel concerning litigation and violation proceedings
  • Filing of equipment files and financing documents
  • Renew business licenses for various Companies
  • File insurance policies and documentation; aid Chief Financial Officer (CFO) in preparing insurance renewal documents
  • Aid Director of Human Resources and operation managers with closing worker’s compensation claims and handling of miscellaneous insurance claims; work with Director of Human Resources to ensure private employee information, including payroll and health information is kept in strict confidence and in accordance with applicable regulations 
  • Coordinate with licensed site remediation professional to ensure compliance with regulations related to properties acquired by affiliated companies
  • Application and renewal of business licenses
  • Proofread contracts and other correspondence for management
  • Aid CFO, Director of Sales (Construction) and Sales Manager (Commercial & Industrial) in the collection of past due accounts and correspond with an attorney/collection agency as necessary
  • Answer calls with customer complaints and track the complaints for the Chief Operating Officer (COO) and CFO
  • Check and answer email on an hourly basis during regular office hours
  • Check miscellaneous email accounts and forward to appropriate Company personnel
  • Answer phone and customer inquiries or directing them to the appropriate Company personnel in a friendly, client centric manner
  • Open mail and disburse to appropriate Company personnel
  • Contribute to team effort by accomplishing related results as needed
QUALIFICATIONS
  • Must be at least 18 years of age and legally eligible to work in the US
  • Bachelor’s Degree in Business Administration preferred, but not required
  • Minimum 3 years of supporting a senior executive or team experience
  • Strong technical and computer skills, including Microsoft Office
  • Commitment to excellence – performing duties at the highest level and on a consistent basis
  • Strong business acumen – can prioritize and make quick and sound judgement calls
  • Ability to complete tasks with little or no guidance
  • Ability to work in a fast paced environment, multitask and perform additional duties at Executive team’s request
  • Excellent written and verbal communication
  • Time management and ability to meet deadlines
  • Detail oriented and strong organizational skills
